Flexo is expanding and is currently looking for an experienced Office Administrator to join our successful business in Tottenham, North London. The main purpose of the role is to organise, coordinate and implement office procedures and carry out duties to assist with the day to day running of the business. The role also involves assisting customers through the order process ensuring excellent service at all times. Office hours are Monday to Friday, 9am - 5.30pm. The role involves: Processing customer orders, dealing with enquiries and resolving any issues that may arise Liaising with the delivery drivers so deliveries are prepared and dispatched on time Liaising with suppliers to order stock. Answering the telephone, taking and relaying messages and dealing with email enquiries. Using a variety of software packages, such as Microsoft Word, Powerpoint, Excel, QuickBooks, etc., to produce correspondence and documents and maintain records, spreadsheets and databases. Developing a good working knowledge of Company products to support customers with their orders. Developing the Company catalogue, writing descriptions for the products and keeping it up to date. Liaising with the designer to produce the Company catalogue. Maintaining the Company website, ensuring it is up to date and accurate. Optimising the website on search engines. Processing invoices and following up payments. General administrative support, including photocopying, faxing, scanning, shredding, making of routine phone calls, filing and maintaining files in an orderly fashion. Responsible for office fire safety, including weekly fire alarm checks, six-monthly fire evacuations and ensuring all staff and visitors sign in and out of the fire register book when entering and exiting the office. With the assistance of the appointed Health and Safety Officer, ensuring health and safety arrangements are in place for the office. Includes conducting, monitoring and updating all risk assessment and ensuring procedures and equipment are in place to deal with any accidents or emergencies which may occur. Ensuring the office is maintained and tidy. Ordering office stationary. Sorting and distributing incoming post and organising and sending outgoing post. Supporting with the recruitment, induction and training of new employees. Monitoring and reviewing all Company insurance renewals, including buildings and facilities insurance, seeking competitive quotes. We are looking for an organised and efficient individual who is able to prioritise their workload. You will need a flexible approach and a willingness to take on new tasks and experiences. The successful candidate will have excellent communication skills and a professional telephone manner. Attention to detail and strong communication skills are essential.
